When starting an online antique, vintage and estate jewelry business, you expect to spend time sourcing stunning pieces, researching their history, and connecting with customers. What you may not anticipate, however, is just how time-consuming and meticulous the process of listing inventory can be.
At first glance, it seems straightforward—photograph the jewelry, write a description, and upload it to the website. But the reality is much more involved. Each piece goes through a multi-step process before it’s even ready for listing:
The Listing Process Step-by-Step
1. Curating & Cleaning: Once we’ve sourced a piece, we ensure it’s in top condition. This means confirming the gold content using acid tests or electronic gold testers, identifying gemstones through specialized tools like a jeweler’s loupe or refractometer, and measuring sizes accurately using ring mandrels or calipers. After verification, we clean the jewelry using ultrasonic cleaners, polishing wheels and cloths, or gentle steam treatments to restore its shine without damaging delicate details.
2. Photography & Editing: Great photos are crucial for selling jewelry online. We take multiple high-resolution shots from different angles, including close-ups to showcase intricate details and hallmarks. Proper lighting is essential—natural daylight or a lightbox setup ensures true-to-life colors. Then, images go through careful editing in software Adobe Lightroom and sometime Photoshop to adjust brightness, remove background distractions, and highlight key features. Finally, they are saved in designated folders with properly labeled filenames to match inventory records.
3. SKU & Inventory Management: Every item needs a unique SKU (Stock Keeping Unit) for tracking purposes, ensuring smooth organization and retrieval. We maintain a master spreadsheet to log each SKU along with descriptions, purchase costs, estimated retail values, and sourcing details. This step helps prevent duplicate listings and makes it easier to manage sales.
4. Writing Titles, Descriptions & Tags: Crafting compelling product descriptions takes time. Each listing requires a well-written title that highlights its key features (e.g., "Antique 14K Gold Art Deco Filigree Ring with Sapphire"). Descriptions must provide historical context, materials, measurements, and any unique characteristics. We also add relevant tags and keywords for SEO optimization, making it easier for customers to discover pieces through search engines and marketplace filters.
5. Spec & Shipping Details: Customers want all the necessary information upfront. We specify ring sizes, chain lengths, metal purity, gemstone carat weight, and condition details. Shipping policies, and processing times, are also clearly stated to manage buyer expectations and ensure a smooth transaction process.
6. Final Edits & Uploading: Before publishing, we perform one last quality check. We ensure all information is accurate, images are correctly displayed, and formatting is consistent. This final review helps catch any errors that could affect the customer’s experience or result in unnecessary returns.
7. Marketing & Promotion: Once the piece is listed, the work isn’t over. Now comes the task of driving traffic to the listing through marketing efforts. We create engaging social media posts showcasing the piece's unique features, craft email campaigns for our subscribers, and sometimes run targeted ads to reach potential buyers. Additional content, such as styling guides or historical insights, helps educate and attract collectors and enthusiasts.

Photography Equipment:
Our first two months, we used a $20 lightbox, and a macro lens adapter for our iPhone. While this setup worked initially, we soon realized it wasn’t quite enough to capture the true beauty of our pieces. To improve our photos, we recently upgraded to tripod for our Nikon digital SLR that we already owned and an LED photography light kit that has a color temperature of at least 5500K, which you can easily find on Amazon.
